Change management at Safran Group originally relied on Word documents that employees forwarded via email. This system led to frequent file losses and lack of clarity regarding the current status of approvals.
The approval process was very time-consuming, often taking up to three months, significantly slowing down the implementation of improvements in production. The situation was further complicated by the fact that if any issues were found during the approval process, the entire process would revert to the beginning.
Unified system with clearly defined workflow
Together, we implemented Jira Service Management with a clearly defined workflow for two types of change management: large changes with a complex process and small changes with an accelerated solution.
In the first phase, all departments can work simultaneously, saving valuable time. Once the basic comments are resolved, individual departments can then fine-tune the final details. We also introduced automatic notifications to responsible individuals.
A crucial part of the solution is the ability to generate auditable PDF reports, containing complete records of the approval process.
First insight into process efficiency
The implemented system has provided Safran Group with a real insight into the efficiency of the entire change management process for the first time. Centralized data now allow tracking how long approval takes in each department and identifying potential bottlenecks in the process.
Management can easily evaluate different types of changes and their complexity, providing valuable data for the continuous improvement of the entire process. This transparency contributes to better planning and more efficient use of resources across the organization.
